As the JAG Nebraska Administrative Coordinator Jobs for America's Graduates (JAG), you will play a crucial role in providing high-level administrative support to the JAG Leadership team and ensuring the smooth operation of the organization. Their responsibilities include managing calendars, coordinating meetings and events, preparing reports and presentations, and handling confidential information with discretion. You will serve as a key point of contact for internal and external stakeholders, representing JAG with professionalism and integrity. This role requires exceptional organizational skills, attention to detail, and the ability to prioritize and multitask in a fast-paced environment. Duties and Responsibilities:
  • Completes projects and special assignments for all JAG Leadership Team Members.
  • Provides support to the JAG Nebraska team by managing and maintaining schedules, appointments, and travel arrangements for items such as State and National JAG Travel, and JAG Interviews both internally, and externally with corresponding schools.
  • Arranges and coordinates internal and external meetings and events including cabinet, committees, and affinity groups, and ensuring meeting materials are handled, set up, and take minutes to include JAG Expansion Meetings.
  • Driving is an essential function of this position. May need to run errands and pick up materials and supplies for the JAG Nebraska department/programming.
  • Responsible for ordering all supplies for department staff/needs, meetings, and events for 6 Program Managers supporting 85 JAG programs.
  • Gathers and submits information on JAG Nebraska activities, achievements, and events from various sources including JAG Team members, program participants, and partners.
  • Compiles, organizes, and submits JAG Nebraska content for weekly Team United emails, monthly Team United meetings, and JAG Statewide Meetings, ensuring accuracy and relevance.
  • Composes routine and confidential correspondence. Verifies reports and correspondence for accuracy concerning information provided, punctuation, grammar, spelling, and layout for NDOL, TANF, and grant reporting for JAG Nebraska initiatives.
  • Receives and interacts with incoming visitors and represents JAG Nebraska department in a positive and professional way, including a tour of UWM for all new hires.
  • Creates and responds to inquiries from the Governor’s office regarding JAG-related matters, providing accurate information as needed.
  • Manages and maintains the School Roster Spreadsheet, ensuring all contact information is accurate and up to date for all JAG programs.
  • Represents JAG Nebraska at meetings, events, and conferences to promote awareness of the JAG program and foster partnerships with stakeholders.
  • Coordinates with JAG team members to ensure that all required documents are submitted for review and scanning promptly with all HR personnel deadlines.
  • Organizes and maintains digital files in our JAG Nebraska SharePoint file. 
  • Performs other duties as assigned.

  • Must have a valid driver’s license and will be required to run departmental errands.
Supervisory Responsibilities:
 This job has no supervisory responsibility.
 
Education and/or Experience:
  • Bachelor's degree from four-year College or university preferred or relevant and comparable experience
  • Two or more years related experience
  • Nonprofit experience preferred
Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer.
  • Regularly reach with hands and arms and talk or hear. 
  • Occasionally required to walk; climb or balance and stoop, kneel, crouch, or crawl.
  • Must occasionally lift and/or move up to 30 pounds.
